The problem

Paper works until patient history becomes hard to find.

Many small clinics can operate with index cards and queue sheets for a while. The pain starts when staff need to search drawers for repeat patients, rewrite the same details, or ask the doctor to work without quick access to previous diagnoses and prescriptions.

Digitization should not begin with a huge system. It should begin with the daily flow: search patient, update profile, add to queue, consult, record diagnosis, prescribe, and back up.

  1. Reception searches for an existing patient before creating a new record.
  2. Reception confirms demographics, contact details, guardian details, and notes.
  3. The patient is added to today's queue with priority and reason for visit.
  4. The doctor opens the queue, reviews patient history, and records the current consultation.
  5. Admin reviews users, audit logs, reports, and backups.

Use these before or during your pilot.

Pilot checklist

Test with sample data before real patient records.

  1. Create sample reception, doctor, and admin users.
  2. Register sample patients and intentionally test duplicate search.
  3. Run a full queue flow from waiting to done.
  4. Add at least three consultations with prescriptions.
  5. Create a backup and confirm where it is stored.
  6. Try opening the app from another device on the same clinic network.

Local-first

Offline-friendly software can fit small clinics better at the start.

A local-first setup keeps patient records on the clinic computer and can keep working when internet is unreliable. It still needs discipline: staff accounts, password changes, daily backups, and a clear restore plan.
